The Medical Equipment Ordering Checklist I Wish I Had Before Wasting $12,000

If you’ve ever bought equipment for a clinic or a med-spa, you know the sick feeling when an order arrives and something is just… off. Maybe it’s the wrong voltage. Maybe it’s the wrong flange size. Maybe it’s 40 boxes of an ostomy bag that nobody can use.

I’ve been on the procurement side for about seven years. Maybe six and a half, I’d have to check. And in that time, I’ve personally made at least four significant mistakes that cost us roughly $12,000 in replacements, rework, and rushed shipping.

It is the connectivity, the platform, the training, and the workflow. We nearly bought two different platforms that each had a separate app. That would have been a support nightmare.

Ask these questions before signing:

The notes that never fit in a purchase order

Take it from someone who has paid for this information:

  • Never trust a verbal “yes.” Get the specification confirmation written into the PO.
  • Ask the supplier to prefill product codes in the quote. If they resist, ask why.
  • Photograph the delivery with the carton label and quantity in the same frame.
  • Set a calendar reminder to check expiry dates on disposable lines.
  • If the device has a power cord, ask for a photo of the back panel. That one question would have saved us the $640 electrical surprise.
